Current society registration
|
University Venues Office is provided with a list of registered societies and clubs from the University of Sydney Union. Only the societies and clubs included on the current list are eligible for special venue hire concessions. Major venues at the University can be requested for society events and are subject to an application process.

Lunchtime bookings 1.00pm to 2.00pm; Monday to Friday
|
A variety of lecture theatres and seminar rooms are available to registered student societies and clubs at no charge from 1.00pm to 2.00pm Monday to Friday. |

Venue hire rates
|
Venue hire is charged to clubs and societies for bookings outside the official lunchtime hour. Registered societies and clubs are entitled to a discounted standard rate (40% discount) on the venue hire fee. Depending upon the venue and event, additional set-up time may need to be booked to permit the use of a particular venue.

BBQs
|
BBQ functions may take place at lunchtimes (1.00pm-2.00pm Mon to Fri) at the following locations:
The Quadrangle internal and front lawns are not available for BBQ events. Evening BBQ events are confirmed on application. Please ensure that BBQ equipment is kept to the concrete pavements and is not positioned on any of the lawn areas. |

Furniture and room set-ups
|
Student event organisers are responsible for room set-ups that are outside the standard arrangements. This includes registration tables in use outside lecture theatres. Event coordinators at University Venues can provide further information. At the conclusion of each event, all rooms must be returned to the condition in which they are found.

Cleaning
|
Events attracting venue hire include the cost of cleaning the venues, time permitting.

| Audio-Visual |
Please check the AV/ technical presentation requirements for your event so that the most appropriate venue can be allocated. Audiovisual details should be provided to University Venues staff prior to the event. Please give as much notice as possible to book any AV equipment. Precinct officers are on duty to assist with general equipment needs. If the required equipment is not available, it may be possible to hire equipment from an external hire company - relevant charges will be invoiced to the student society or club. Please recommend to speakers that, where possible, personal AV equipment (eg. laptop computers) be tested before the event commences. |

Most buildings have a team of precinct officers who manage the general operational requirements for the venues. In general, these teams will provide:

| Security | When a government official, diplomat or VIP is expected as a speaker or guest of your society, the University's Security Services team will assist with appropriate arrangements. Please inform the University Venues team of any dignitaries who may be in attendance. Please refer to this website for further information on security.
