Vehicles Replacement and Servicing

Arrangements for vehicle replacement and servicing of University owned vehicles (January 2008)

Fleet manager

Webfleet has the responsibility for the management, purchase and disposal of all university owned vehicles including those vehicles classified as “tools of trade”. Maintenance of these vehicles is now the responsibility of the Facility, which has use, and benefit of a specific vehicle.

University vehicles are required to be regularly serviced and maintained according to the manufacturer’s recommended service intervals in the vehicle service book. If you are the custodian/driver of a University owned vehicle, you will need to ensure that the vehicle is regularly serviced.

To replace the services previously managed by the University Garage, Webfleet have arranged for new services to be provided by the Suttons Motor Group and Sydney City Toyota for vehicles located in the Sydney Metropolitan region (see details below). These suppliers should be able to service most makes of vehicle.

Vehicles located outside of Sydney metro area can be taken to your nearest major car dealership as major dealerships for all manufacturer types are registered with Webfleet for maintenance purposes.

New vehicle delivery and Pick-up point

Webfleet will purchase all new vehicles and will arrange for the disposal of all obsolete vehicles. Vehicles that are due for turn over should be deposited in the parking area behind Buildings G10 & G11, off Rose Street, Darlington (see Map below) and you can collect new vehicles from the same area once Webfleet staff have advised you of the delivery arrangements.

Booking vehicles for service or maintenance

When booking vehicles in for a service, please ensure that you provide the following information:

1. The vehicle is a University of Sydney vehicle
2. Webfleet Management Services manages the University of Sydney’s Fleet

Paying for services

Please note, service providers will forward invoices to Webfleet Management Services for payment.
Please do not pay for the service using your Corporate Credit Card or any other means.

When making a booking, please indicate that the vehicle in your care is a University of Sydney vehicle and that it is managed by Webfleet Management Services.

Vehicle Pick-up and Delivery Service

• Suttons Motors will provide a Vehicle pick-up and delivery service.
• The pick-up and delivery point is behind the G10 and G11 buildings at Rose Street, Darlington (See Map above)
• Vehicles will only be picked up between 7.30am and 9.00am. Later pick-up times are not available.
• Please note that a notice period of 4-5 days for the Pick-up and Delivery service is preferable.

Sydney City Toyota service and maintenance bookings

When making a booking, please indicate that the vehicle in your care is a University of Sydney vehicle and that it is managed by Webfleet Management Services.

Vehicle Drop-off point

Vehicles can be dropped off directly at Sydney City Toyota at 36 – 38 Parramatta Rd, Glebe (cnr Ross St and Parramatta Rd), or at the Waterloo Branch.
Please note that Sydney City Toyota will not be providing a pick-up and delivery service to the University.

The following services/facilities are available at Sydney City Toyota Service locations:

• Sky channels
• Free coffee, tea and muffins up to 10am. Coffee, tea and biscuits after 10am
• Internet facilities
• Office facilities

University of Sydney Staff Discount at Sydney City Toyota

A discount of 10% on the invoice amount will be given to University of Sydney staff (please present your Staff ID card to obtain the discount).
